Frequently Asked Questions

How long does a swap typically take?

Once we've found a match and both facilities agree, most swaps complete within 4-8 weeks. This is much faster than traditional placement, which can take years.

What if we change our minds?

Before your swap is finalized and both facilities have locked in dates, you can cancel with no penalty. Once dates are locked, cancellation terms depend on your agreement with the receiving facility.

What if no match is found?

We'll keep searching for 90 days. If we don't find a match in that time, we'll discuss next steps with you. Your $1,999 fee is refunded if no match is found.

Do I have to use your transport partners?

No. We help you evaluate options—vetted NEMT partners, medical transport, or family transport—and coordinate with the facilities. You decide what's right for your loved one.

Is my loved one's information protected?

Absolutely. CareSwaps is HIPAA compliant with BAA-signed service providers. Your loved one's medical information is encrypted and only shared with facilities and transport partners when necessary.

Can I swap between any two facilities?

In theory, yes. But the swap needs to work both directions. We're looking for another family wanting to go the opposite way with compatible timelines. The more flexible you are on facility specifics, the faster we find a match.

Who pays the transport company?

You do. CareSwaps handles matching and coordination, but transport companies are independent. You'll contract with them directly and pay their fees. This keeps CareSwaps out of the transport business.

What if the other family backs out?

We pre-screen all families and lock in swap dates only when both sides are fully committed. If something changes, we have backups in our network to minimize disruption.

Do I need a Medical Durable Power of Attorney (MDPOA)?

If your loved one cannot consent to their own transfer, you'll need an MDPOA or guardianship to authorize the swap. We recommend having this in place before you register. Read our full MDPOA guide →
